As the first point of contact for our Melbourne location, this is an exciting opportunity for a talented professional to become part of an outstanding team within the mental health and wellness industry. In this hybrid role, you will be responsible for delivering a wide range of services including….
Clinical Administration:
- Assisting with induction and onboarding of new clinicians
- Responding to inbound enquiries via phone, email, online chat and SMS
- Organising counselling and other mental health services for clients of companies we support
- Supporting client engagement by coordinating services, scheduling appointments and conducting follow-up / administrative duties
- Providing administrative support to Acacia's clinical team including our Regional Managers and National Clinical Services Manager
- Managing shared mailboxes and ensuring enquiries are actioned within appropriate timeframes
- Acting as a point of escalation for Acacia’s Psychology Team
- Customer contract coordination
Office Management:
- Office management and reception duties for our Melbourne office
- General office support including upkeep of office supplies, stationery orders, grocery orders, collateral, and collecting/posting mail
- Managing meeting room bookings, utilising a digital booking application
- Coordinate local office events including staff meetings, birthday lunches, and special events
- Liaise with local property management and contractors
- Manage office organisation and functionality, including assistance with printers and other equipment.

- Although clinical offices, this is a Monday – Friday role with no weekend work required

- Previous experience in an administration, client services, reception or office administration role
- Exceptional attention to detail
- Excellent communication and customer service skills
- Solid organisational and time management skills
- Good keyboarding, PC literacy and IT skills
- A strong team orientation and the ability to work collaboratively
- Someone who takes initiative and has a positive approach
- Professional attitude and friendly phone manner are essential
- Positive can-do attitude
- Job maturity
